TERMS OF BUSINESS & CANCELLATION POLICY

When booking an appointment and becoming a client of SSL Massage and Beauty Room you agree to abide by the cancellation policy and terms of business.

Prices are correct at the time of publication and are subject to change without notice. Our website has the most up-to-date prices, printed pricelists are no longer valid and will not be reprinted as part of our environmental pledge. 

We aim to respond to all messages within 24 hours wherever possible during working hours.

Please allow longer if contacting us out of hours.

Booking fees/Cancellations

A 25% non-refundable booking fee is required for all appointments and must be paid on the day of booking unless otherwise agreed. If the payment is not received, the provisional booking will automatically be cancelled without notice and made available to other clients. Cash, bank transfer or card payment accepted. The non-refundable booking fee is deducted from the full balance of your treatment cost when you attend your appointment. If you intend to pay the balance via bank transfer, please do so before the treatment commences so that we can confirm payment has been received before the treatment starts.

If for any reason you need to cancel or rearrange less than 48 hours before your appointment, your booking fee will automatically be used as a cancellation fee. If more than 48 hours’ notice to cancel is provided then your booking fee is transferable to another date within 12 months of the appointment you cancelled. If you do not rebook within 12 months of the cancelled appointment you will forfeit the amount paid and it will be deemed a cancellation charge. Please note you should not have a treatment if you are feeling unwell, have a viral infection, bacterial infection or are on any antibiotics. Certain medical conditions and medication may also be a contraindication to treatment, it is therefore imperative that you notify us of any changes at the earliest possible opportunity. If less than 48 hours’ notice is given you will be charged the cancellation fee.

If you are running late for your appointment, your treatment time may have to be shortened to avoid inconvenience to other clients but you will still be charged the full treatment fee. If you are more than 15 minutes late we may not be able to carry out your service and full cost will be charged.

If you miss an appointment without notice, you will be charged 100% of the treatment cost. Your booking fee will be used as part payment for this and the remaining balance will be charged via SumUp. If you do not pay the fee, you will not be allowed to book any future appointments.

If you repeatedly cancel at short notice we reserve the right to refuse booking.

Payment Methods

Cash (pound sterling) - we do not accept Scottish Notes or old £10 or £20 sterling notes.

Bank transfer - must be sent prior to the appointment commencing

Card payments accepted via SumUp - any credit or debit card that displays a Visa, V PAY, Mastercard, Maestro, American Express, Discover, Diners Club, or Union Pay logo as well as NFC payments via Google and Apple Pay.

Consultation

A mini pre-booking consultation is performed prior to your first appointment to ensure suitability of the treatment for you. All clients are required to complete digital consultation forms prior to each appointment, these are stored on a GDPR compliant portal called Consult With Confidence and can be emailed for you to complete at home and verified at your appointment. A record of all your treatments is kept for 7 years after your last visit in line with our insurance requirements. It is your responsibility to notify us of any changes after your initial visit.

Vaccines

It is advisable to wait 48 hours after having any vaccine before having a treatment. If you are suffering with side effects from the vaccine, it is best wait to have any treatment until you are feeling well again.

Treating Minors

We will not treat children under the age of 10 years. Children under the age of 16 must have full written consent from a legal guardian who MUST accompany them to the appointment. Appointments for clients under 16 have to be booked outside of school hours. If we deem a treatment on a client under the age of 16 as unsuitable or inappropriate for the individual, we have the right to refuse treatment. The client must want to have the treatment done and be mature enough to follow the aftercare advice.

Pregnancy

We are covered under our insurance to provide treatments on pregnant clients, provided the manufacturers and training guidelines allows for use of the products or pieces of equipment on pregnant clients. If you have a history of difficult pregnancies or miscarriage, you must contact your GP, Consultant or Midwife, for written consent for the treatment to go ahead.

Eve Taylor London products are safe to use during pregnancy except for a few products with higher concentrations of essential oils. Dermalux LED Systems have not been tested on pregnant women and therefore the risk to the foetus or to the pregnant woman is unknown, consent to treatment during pregnancy is at your clinician’s discretion.

Health and Medication

It is your responsibility to inform us of any changes to your health or medication prior to your appointment. Some treatments are contraindicated if you have certain health problems, conditions or are on certain medication. This includes the common cold, skin infections and antibiotics so please notify us of any change in your current health, no matter how minor you may think it is, it could be very relevant. Failure to do so with more than 48 hours’ notice may mean your treatment can’t go ahead and a cancellation charge incurred.

Covid-19

If you, display any symptoms of Covid-19 please advise us as soon as possible and DO NOT COME TO THE TREATMENT ROOM FOR YOUR APPOINTMENT. The main symptoms of coronavirus (COVID-19) are: a high temperature, a new continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than normal), a loss or change to your sense of smell or taste. If less than 48 hours’ notice is provided the cancellation fee will be charged. 

 Failure to provide 48 hours’ notice may result in you being charged the cancellation fee.

If you have had COVID-19 but are now well and no longer need to self-isolate you can have a treatment if it has been 14 days since you first tested positive or became symptomatic, providing there are no other contra-indications present at the time of the treatment.

If you are suffering any long-term health issues from having COVID-19 or are taking any prescribed medication for ongoing COVID-19 symptoms, you must obtain consent from your GP for the treatment to go ahead.

Please attend your appointment on your own unless the client is a minor, vulnerable adult or needs a carers assistance. 

We have and always will follow strict hygiene protocols; all tools and equipment will continue to be disinfected or sterilised in line with the specific manufacturers’ instructions for your safety. The treatment room is treated with Zoono Microbe Surface Shield every 4 weeks. We have disposable biodegradable sheets that are changed between clients. All laundry is washed as per guidelines. High contact surfaces are cleaned between clients and purge ventilation takes place between each client’s appointment. Hand hygiene is a high priority and hand sanitiser is available for clients to use..

Toilet facilities will continue to be available to clients. For security purposes, our insurance company have always stipulated that anyone wishing to use the toilet must be escorted to the bathroom and that we wait outside. We ask that you use your own toilet facilities before setting off for your appointment to reduce the likelihood of you needing to use the toilet facilities. We appreciate some of you may still need to use the toilet and we have disposable paper towels for drying hands and a pedal bin to dispose of the waste.

Gift Certificates

Printed gift certificates are available for collection, these can be for specific treatments or monetary value (minimum spend £15). Printed gift certificates come with a 12-month expiry date, they are not valid once they expire. 

Printed gift certificates cannot be redeemed for cash, sold or transferred. No change given.

We do not accept any responsibility for lost or damaged gift certificates.

Please inform us at booking if you wish to use a printed gift certificate, you will be asked for the certificate issue number and will need to present your gift certificate at the appointment before the treatment starts. We have the right to reject any booking or ask for cash payment if the certificate is not presented or is damaged.

 

Electronic gift certificates can now be purchased via SumUp. These can be redeemed against products or treatments. The recipient can choose how much they would like to redeem for example, if the treatment costs £40 and they have £40 in gift card credit they can either redeem the full amount or make a part payment and pay the remaining balance.  You will need your email and/or the recipients email in order to process your order. Select the amount you wish to spend and design your own voucher. There are currently no expiry dates for SumUp gift cards but the gift card code will be required in order to redeem.

Please note if you have been banned from booking at SSL Massage and Beauty Room for breaching our terms of business and cancellation policy you will not be able to redeem vouchers against treatments.  

 

Behaviour and Conduct

We have a zero tolerance policy for any inappropriate, abusive or threatening behaviour. If you behave in such a way you will no longer be accepted as a client at SSL Massage and Beauty Room and such behaviour may be reported to the police if deemed necessary.

If you do not abide by the Terms of Business and Cancellation Policy, SSL Massage and Beauty Room have the right to refuse treatment. SSL Massage and Beauty Room also have the right to refuse treatment if they do not feel it is in your best interests.
